02What information we collect
When you ask us for a free quote, we collect the details you give us through the quote form:
- your name, phone number, email address and postcode
- the service you need, your fuel type and your property type
- your message and anything else you choose to tell us about the job
- any photos you choose to upload (optional)
- how you would prefer us to get back to you (call, WhatsApp or email)
When you sign up for a service reminder, we collect your name, email address, phone number (optional), postcode, fuel type and the month of your last boiler service.
If you agree to analytics cookies, we also collect information about how you use our website, such as the pages you visit, the device and browser you use and roughly where you are browsing from. This information does not identify you by name.
03How and why we use your information
We only use your information where the law allows us to. The list below sets out what we use it for and our lawful basis for doing so.
- Responding to your enquiry. We use your quote form details to contact you, understand the job and give you a quote. Our lawful basis is taking steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us.
- Carrying out work. If you go ahead with a job, we use your details to arrange and complete the work, and to keep records we are legally required to hold, such as gas safety records. Our lawful basis is performing our contract with you and complying with our legal obligations.
- Service reminders. If you sign up, we send you a reminder email about 11 months after your last service so you can book your next one in good time. Our lawful basis is your consent. Every reminder email includes an unsubscribe link, and you can withdraw your consent at any time.
- Website analytics. We use analytics cookies to understand how people use our website so we can improve it. Our lawful basis is your consent, which you give or refuse through the cookie banner.
We will never use your information for marketing unrelated to the services you have asked about, and we do not make decisions about you using automated processing.
04How long we keep your information
We keep your information only for as long as we need it:
- Quote enquiries that do not go ahead are kept for up to 12 months, then deleted.
- Customer and job records are kept for up to 6 years after the work is completed, so we can deal with any warranty or guarantee questions and meet our accounting and legal obligations.
- Service reminder details are kept until you unsubscribe or ask us to delete them.
- Analytics data is kept for up to 14 months.
06Your rights
Under UK data protection law, you have the right to:
- ask for a copy of the personal information we hold about you (access)
- ask us to correct information that is wrong or incomplete (rectification)
- ask us to delete your information (erasure)
- ask us to limit how we use your information (restriction)
- object to us using your information where we rely on legitimate interests (objection)
- ask us to transfer your information to another organisation (portability)
